Venture Café St. Louis is a nonprofit organization with a mission to connect innovators to make things happen. We broaden the application of innovation to include a wide range of industries and communities, build a more diverse and inclusive innovation economy, and connect innovation communities locally, nationally and internationally.

The latest program of Venture Café St. Louis is Innovation Hall – the living room of the innovation community. The first of its kind in the region (based on our sister organization’s District Hall in Boston), Innovation Hall will offer free drop-in workspace for entrepreneurs in the region plus the largest event space in the Cortex area district and will include private meeting and event space, restaurant and coffee bar.

This is a fast-paced and integral role in our growing not-for-profit organization, working with clients across the entrepreneur community, business, academia, government and civil society. The Event Manager will manage our pipeline of client events and assist with daily operations in a very unique space: a highly visible and active gathering place specifically designed for the innovation community to meet and connect. This is a one-of-a-kind opportunity to learn the ins and outs of running both an event space and a mission-driven not-for-profit as part of a small, effective team.

As Event Manager, you will be responsible for executing Innovation Hall’s entire event booking process — from sales and initial inquiries all the way through to billing and execution. We’re looking to hire a detail-oriented person with strong client communication skills who is able to balance multiple priorities and is passionate about our mission and coordinating events in our space. Our events booking process is unique to our space, and we’re looking for someone process-driven with strong hospitality skills.

This is a full­-time position based in St. Louis, MO in the Cortex district.

RESPONSIBILITIES:

  • Event coordination (this will comprise more than 85% of daily responsibilities):
    • Client communication for general inquiries, events, and programs
    • Managing the full life-cycle of each incoming event request, from inquiry to fulfillment in a timely and professional manner (including quoting & booking, client communication, contracts and invoicing, and event logistics confirmation)
    • Assisting in cost reduction decisions for events that meet our sponsorship criteria
    • Preparing reports on event revenue, impact, and metric tracking
    • Straightening up conference rooms and meeting areas throughout the day
    • Event support, including site visits for client tours and event set-up, and staffing assistance
    • Acting as the primary liaison between our team and our on-site restaurant/hospitality partners
  • Operations & Engagement:
    • Assisting with daily building and program operations, including: troubleshooting AV equipment and technical systems, placing and overseeing building work orders, managing incoming phone calls and general inquiries, website maintenance, and other tasks as needed
    • Supporting our own programming and resources including Café Nights, Office Hours, etc.
    • Representing Innovation Hall at events throughout St. Louis’ innovation community
    • Special projects on an as-needed basis for Innovation Hall and Venture Café St. Louis
    • The majority of this position’s duties will take place during standard business hours, but some evening and weekend staffing will be required

Qualifications

  • Bachelor’s degree in any field or equivalent experience.
  • Strong hospitality background – able to keep guests engaged and happy while resolving problems.
  • Excellent organizational, project, and task management skills, including attention to detail and enthusiasm for efficiency and processes. We’re looking for someone who can hit the ground running by helping us finalize and then start utilizing our operating systems and continue to improve them.
  • Proficient in Google Suite, event planning software, Canva or other graphics creations programs
  • Interest in events and events management for clients. Client events are the backbone of everything we do, including the success of our mission and impact.
  • Outstanding communication skills and comfort with public speaking. Ability to do so independently, on a small team, and among stakeholders in formal and informal settings.
  • Experience and comfort with managing conflicting priorities, including a steady stream of client communications, logistics, and transactions via email, phone, and in person.
  • Comfortable with failure; Commitment to improvement

Salary: $40,000—$45,000 plus benefits:

  • The organization provides employer-paid medical, dental, vision, and life insurance. 100% of health care costs up to $500
  • Two weeks of paid time off (PTO) in the first year — increasing to three weeks after the second full year.
  • Flex time
  • After the first year, is eligible to participate in the 401(k) plan
  • One (1) one-hour massage per month from the on-site massage therapist.
